HR and Payroll Administrator – SSHRPA

Main job function
The HR/Payroll Administrator will ensure the smooth running of the company Human Resource function ensuring all HR related administration is completed diligently, accurately and all records are up to date. The position will also oversee the payroll function with all monthly inputs performed by the position on the company’s payroll software. In addition, the position will assist with the managing of the CEO’s diary.

Duties and Responsibilities
Payroll
• Addition and termination of employees on the payroll system (Sage VIP).
• Maintaining employee details.
• Monthly payroll capturing.
• Maintaining employee hard file and backup file in One Drive.
• Accurate and timeous loading of net salary payments on the bank.
• Monthly payroll reporting and generation of statutory reports (EMP201/UIF declaration) for submission by 25th of each month.
• Generate and issue pays lips either via email or hard copy.
• Assist with and resolve payroll queries from staff.
• Capturing leave forms in the leave management system.
• Administering staff loans.
• Track employee leave

Employee Records & Compliance
• Maintain employee records in line with POPIA (Protection of Personal Information Act).
• Manage the renewal of all trade certifications, licenses, and compliance documents where relevant.
• Manage & store HR documentation, including employment contracts, amendments such as promotions, demotions or transfers, and termination records.
• Manage all disciplinary records and assist with the compilation of disciplinary packs where needed.
• Manage attendance records

Recruitment & Onboarding
• Assist in hiring skilled electricians, solar technicians, engineers, and administrative staff.
• Manage onboarding processes, ensuring employees receive safety and compliance training if required.
• Verify and maintain copies of trade certifications, qualifications, and professional registrations of all relevant employees.

Training & Development
• Coordinate training on electrical safety, solar installation best practices, and compliance or other department specific training like Sales Techniques, Finance systems or Computer training.
• Maintain records for Workplace Skills Plans (WSP) and SETA submissions.
• Identify employee skills gaps and recommend relevant upskilling opportunities.

Health & Safety Compliance
• Support compliance with Occupational Health & Safety Act (OHSA).
• Track injury-on-duty (IOD) cases and liaise with the Compensation Fund.
• Ensure field teams have the required PPE and adhere to site safety protocols.

Employee Relations & Engagement
• Foster a positive work culture across office, warehouse, and site teams.
• Support performance appraisals and recognition programs.
• Assist in organizing team-building activities and employee engagement initiatives.

Other Duties
• Support the finance team with finance related tasks including processing and capturing
• Manage the company with petty cash
• Manage the diary of the CEO

Skills, Competencies and Minimum Requirements

• Computer proficiency – MS Office Suite.
• Experienced in using payroll and accounting software.
• Bookkeeping certificate or diploma.
