Job Specification: Personal Assistant/Administrator to Financial Broker
Position: Admin Department: Bedfordview
Job Summary: The Personal Assistant will provide comprehensive administrative and secretarial support to the Financial Broker and Admin Team of the Long-Term Insurance Department. They will handle a wide range of tasks to ensure efficient workflow and effective communication.
Responsibilities:
- Manage the Financial Advisor’s calendar, schedule appointments, and coordinate meetings with the Call Center Agent, ensuring optimal time management and
- Handle incoming calls, emails, and correspondence, responding on behalf of the Financial Broker or redirecting the appropriate personnel.
- Prepare and review documents, reports, presentations, and other materials as requested by the Financial Advisor.
- Assist in the preparation and coordination of meetings, including arranging logistics, taking minutes, and following up on action items.
- Maintain confidential files and records, ensuring their accuracy, organization, and
- Liaise with internal departments, external stakeholders, and clients on behalf of the Financial Broker, maintaining professional and positive relationships.
Qualifications:
- Proven experience as a personal assistant, executive assistant, or similar role, preferably supporting senior executives or managers.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills, with attention to detail and accuracy in all communications.
- Proficiency in using office software and applications, including MS Office (Word, Excel, PowerPoint, Outlook), and familiarity with digital tools for scheduling and document management.
- Discretion and confidentiality in handling sensitive information and maintaining professional ethics.
- Strong interpersonal skills, with the ability to build relationships and work collaboratively with colleagues at all levels.

- Previous experience in the insurance industry or related field is a plus.
